The National Library Of Wales Fundraising Privacy Statement
As a registered charity The National Library of Wales is required to generate a proportion of its income from commercial activity and philanthropic donations. As such we carry out fundraising research and process personal information in order to understand the background of people who may support or have supported us, and to help us to make appropriate requests to supporters who may have the desire to donate to the National Library of Wales.
So that we can fundraise effectively and efficiently (for example, by analysing and segmenting our supporters by location, demographics, previous donations or previous activities and to identify your interests and motivations and the level of support you may potentially be able to give to us), we process certain personal information. In our fundraising database we process personal information relating to the identity of our potential or actual donors, contact details (including postal address, home and mobile numbers; email address) family history, age, date of birth, gender, employment history, educational history, social activities, interests, marketing preferences (for example, where you have opted into receive our newsletters, visit history, correspondence history activities and behaviour (such as when you visited our buildings, or whether you attended events), donation history and financial status and philanthropic activities. In relation to our actual donors we also process bank and Gift Aid details in order to manage donations.
We may process indirectly through third parties’ fundraising sites – this includes the information you have shared with them (for example donation processing sites, such as Just Giving). These sites may pass your data to us where you have indicated that you wish to support us.
Where we have legitimate interest in doing so, we may collect other information relevant to our mission. From time to time we may carry out public domain research in order to identify people who we think might be able to support us based on factors such as contributions to similar organisations, transaction history and demographics. In doing so, we may use third party research and insight companies to provide us with general information from publicly available sources about our donors or potential donors.
General information about donors or potential donors is retained for as long as it remains current and of potential use, after which it is deleted. Transactional information about donations is retained for a minimum of the year in which the donation was made plus a further six years for tax and accounting purposes. We will only retain donation history where we are confident that the processing of your information is in our legitimate interests and that of the donor and does not override your own legitimate interests or rights and freedoms.
We have chosen to register with the Fundraising Regulator and adhere to their Code of Fundraising Practice. We ensure that all our fundraisers and third parties do so. Information about our donors may be used to ensure that we comply with the Fundraising Regulator’s Code of Fundraising Practice, which stipulates that we must take steps to assess and manage risks to our work and reputation with regard to certain levels of donation.
